There is nothing quite as frustrating in accounting as sitting down to reconcile your bank
account, only to find that your Beginning Balance is off. You know you finished last month
perfectly, so why is QuickBooks telling you that your starting point for this month is wrong?
This discrepancy is almost always caused by a “ghost” transaction—a record from a past
month that was deleted, edited, or had its “cleared” status changed.
Here is how you can stop the panic and fix it quickly.
The Problem: Why Does the Balance Change?
QuickBooks Online is a dynamic system. If you (or a teammate) accidentally go back to a
previous, already-reconciled month and change the amount of a transaction, delete it, or
uncheck the “Cleared” (R) box, the math for that month changes.
When the math for a past month changes, your Beginning Balance for the current month
will be off by that exact amount.
The Fix: Let QuickBooks Do the Heavy Lifting
You don’t need to manually hunt through every transaction from the last year to find the
error. QuickBooks has a built-in detective tool specifically for this.
- Open the Reconciliation Window: Navigate to Accounting > Reconcile.
- Look for the Alert: If your balance is off, you will see a message in the
Reconciliation window saying: “Your account isn’t ready to reconcile yet. Your
beginning balance is off by $X.XX.” - Click the Link: Look for the link that says “We can help you fix it.”
- Review the Discrepancy Report: This report is your roadmap. It will show you
exactly which transactions were changed, deleted, or unreconciled. It will point you
to the specific date and amount that caused the headache. - Restore the Integrity: Use the information in the report to find those transactions in
your register.
- If a transaction was deleted, re-enter it.
- If the “R” status was removed, go to the register and click the box until it
returns to “R” (Reconciled). - If the amount was changed, revert it to the original, correct amount.
Pro-Tips to Keep Your Beginning Balance Healthy
Once you fix the discrepancy, you want to make sure it doesn’t happen again.
- Lock Your Dates: If you have an accountant or a bookkeeper, ask them to “Close
the Books” in QBO after your tax return is filed. This prevents anyone from
accidentally editing transactions in a closed period. - Don’t “Clean Up” Old Transactions: Never edit a transaction that has an “R” next to
it unless you are 100% sure you are replacing it with the correct information. - Reconcile Monthly: The longer you wait to reconcile, the harder it is to track down
these discrepancies. A 15-minute monthly reconcile is much easier than a 4-hour
“deep-dive” catch-up.
