  1. The Golden Rule: “Match” Before You “Add”
    This is the single most important habit in QBO. If you see a green “Match” button, always
    click it.
    When you “Add” a transaction that already has an invoice or check recorded in
    QuickBooks, you are creating a duplicate. This inflates your income or expenses and leaves
    a “ghost” transaction sitting in your records indefinitely. If the system suggests a match,
    verify the amount and date, and then click that green button to link the bank feed to your
    existing record.
  2. Embrace “Bank Rules”
    Are you tired of categorizing the same $50 coffee shop expense every single week? You
    don’t have to.
    Use Bank Rules to automate the process for your recurring transactions. You can tell
    QuickBooks: “Whenever a transaction contains the name ‘Starbucks,’ categorize it as
    ‘Meals & Entertainment’ and add the vendor name ‘Starbucks’.” This saves you hours of
    manual entry and ensures consistency in your reporting.
  3. Don’t Fear the “Transfer” Button
    A common mistake occurs when business owners move money between their own
    accounts (e.g., from checking to savings, or checking to a credit card).
    If you categorize these as an “Expense,” you are telling QuickBooks you spent money on
    goods or services, which isn’t true. Instead, use the “Record as Transfer” feature. This
    links the two accounts together, showing that the money simply changed location—not
    that it left the business entirely.
  4. Banish “Uncategorized” to the Trash
    It’s tempting to dump tricky transactions into an “Uncategorized Income” or “Uncategorized
    Expense” account just to finish the task. Resist the urge.
    When you dump items into “Uncategorized,” you are effectively blinding yourself to your
    true profit margins. If you aren’t sure how to categorize a transaction, create an “Ask My
    Accountant” category. This flags the item for later review, keeping your main P&L clean
    while ensuring you never lose track of a mystery transaction.
