If you’ve ever looked at your Profit & Loss statement and thought, “That expense seems way
too high,” or “My income is double what it should be,” you aren’t alone. You’ve likely fallen
into the most common QBO trap: The Duplicate Entry.

In your rush to clear your bank feed, it is tempting to just hit “Add” on every transaction that
appears. But when you do that, you are often creating a ghost transaction for an item that
already exists in your books.

 

The Problem: The “Add” Button Addiction
In QuickBooks Online, the Bank Feed is designed to be a ledger of your real-world bank
activity. However, if you already recorded a Bill or an Invoice, that transaction already exists
in your records.
When the bank feed sees that same payment come through, it tries to tell you, “Hey, I see
this match for your previous record.” If you ignore that advice and hit “Add” anyway, you are
telling QuickBooks to create a brand new transaction.

The result?

  • Income duplicates: You look richer than you are.
  • Expense duplicates: You look like you’re spending twice as much as you really are.
  • Reconciliation nightmares: Your bank balance will never match your QBO balance because your books have extra “fake” transactions that don’t exist in reality.

 

The Solution: Look for the Green “Match” Button
QuickBooks Online is smarter than most people give it credit for. If you have already
recorded a transaction (like a bill payment or an invoice receipt), QBO will highlight that
transaction with a green “Match” button.
This button is your best friend.
When you click “Match,” you aren’t creating new data. You are simply telling QuickBooks:
“This bank transaction is the real-world version of the record I already created.”
It links the two together, marking the manual record as “cleared” and ensuring your data is
clean, accurate, and ready for your tax professional.

 

Three Rules to Avoid Duplicates

  1. Check for “Match” First: Before you even look at the “Add” button, scan the Bank
    Feed for the “Match” label. If you see it, use it.
  2. Don’t “Add” if you “Owe”: If you have entered a Bill for a vendor, you should never
    need to use the “Add” button for that vendor’s payments. If a “Match” isn’t
    appearing, it means you haven’t recorded the Bill yet—go back and enter it!
  3. Review the Details: If the match looks almost right but the numbers are off, click
    the green “Match” text. It will expand and show you what it’s trying to match against.
    You can verify it’s the right record before you commit.
